Ph.D students of Leiden University may apply for a subsidy for (return) travel costs to the congress venue from Leiden, for the costs of accommodation during the congress, and for any registration fees (up to a maximum of 300 euro). At least one-third of the total of these costs should be met from the resources of the faculty or the relevant department ; the remaining two-thirds can be considered for a guarantee by LUF. Expenses for visa, printing of posters etc. are excluded from this subsidy.
During the course of their appointment, PhD candidates are eligible for a contribution to the costs relating to attendance of a congress and/or a study visit to a maximum of two. As a rule, only one person per research group may receive a contribution for a particular congress.
In addition to your application form, you should submit the following appendices:
- the motivation for your application, including a brief description of the subject in relation to your own research;
- the programme of the congress you wish to attend;
- acceptance of your active contribution: demonstrate that you are making an active contribution to the congress in the form of a paper or poster presentation. You should include a copy of the acceptance of this contribution preferably with your application or in any event with your expenditure statement. An exception to this rule is only possible if such an active contribution by PhD candidates is not common practice in the relevant specialist area;
- recommendation: a written recommendation by your supervisor;
- a budget, including information about other (potential) sponsors, to be submitted on the form provided;
- financial support from the university: indicate that at least one-third of the cost of the trip, accommodation and registration are being borne by a faculty of department within Leiden University. The approval of this support should be included as an appendix with your application;
