New rules
As a Ph.D. student you can apply for subsidy only once, either for participation in a congress, or for travel costs and accommodation/living expenses of a study trip. When you participate in a NWO project it is only possible to apply for subsidy in case you can proof that the project does not have a travel budget, or that the travel budget has been exhausted.

Main conditions of guaranteed subsidies
The activity for which you are applying for a subsidy should be part of a research programme recognised by your faculty, but for which the costs cannot be borne totally by the faculty or department. LUF does not support activities that have taken place in the past or have taken place prior to the meeting in which your application will be handled.
Nature of the subsidy
Financial support provided by LUF always takes the form of a guarantee. This means that if the actual costs are lower than the contribution which the LUF has approved, or if other sources of income became available, the sum of money eventually provided will not exceed the actual costs incurred minus any additional sources of income .
Application and procedure
Please use the application form on this website for your application. The committee will only consider applications which are submitted using this form and which are completed in full and signed. Submit your application in good time so that the committee is able to consider your application before the event in question takes place. The committee meets seven times per year. The deadlines for submission can be found on the website.
Your application consists of a completed and signed application form, which you can find on this website, and all necessary appendices. You are required to submit to the LUF eight copies of all documents relating to your application (application form plus appendices). Incomplete applications will not be considered. You will receive an e-mail with a reference number when your application will be taken into consideration.
Decision
You will be notified officially of the decision of the committee within three weeks after the date of the meeting. The outcome of the meeting will be announced on our website two days after the meeting.
Payment
You should submit your account to the LUF within four months of the conclusion of the activity. You should sign the expense statement to verify that it is correct and proper. The guaranteed subsidy will be paid out on the basis of this verified account. If your financial report is not submitted within this term, you will not receive any subsidy.
Further information
Leiden University Fund is authorised to request further information relating to actual expenditure and if such information is not provided, the funds approved will not be paid, or any funds which have already been paid will be recouped.
