Conference organisation grants

Leiden University scholars can apply for a grant from LUF for the organisation of a conference or a workshop within their research field.

All applications are evaluated by the Committee for Academic Expenditure (Commissie voor Wetenschappelijke Bestedingen, CWB), which consists of representatives from Leiden University's seven faculties.


  • The conference should be held at a Leiden University building in Leiden or The Hague. 
  • The maximum conference organisation grant awarded by LUF is € 2,500.
  • Your department or faculty should match the conference organisation grant you apply for.
  • Grants are primarily intended for expert meetings and small-sized conferences that are difficult to organise without the support from LUF. Annual conferences are not eligible for a grant.
  • Publication costs, speaker fees and excursions are not eligible for financial support by LUF. If you are not sure whether a particular expense is eligible for financial support, please send an email to
  • LUF provides financial security grants, based on actuals versus budget as to be provided after the event, which means that the amount paid out will not exceed the amount spent.
  • Applications for activities that take place before the CWB meeting are not eligible. The committee meets several times a year. Current deadlines and meeting dates can be found in the meeting schedule.


Applicants should fill in the application form and e-mail it to Please ensure that you include in your email all required attachments (no need to submit printed copies) as stated below:

1. Motivation
A motivation of your application, including a brief description of your congress theme in relation to your research.
2. Proof of financial support of the faculty or department
This shows that the faculty or department will support the conference financially with an amount at least equal to the grant requested.
3. Recommendation
A written recommendation by the chairman of the research group.
4. Budget
A budget, including information about other potential grant providers. You can use your own format for the budget. Only note items in this budget that are eligible for a grant from the LUF (see conditions). You must acknowledge the support of the LUF in your programme. If you have been awarded a grant, you receive a standard format that needs to be used.
5. Program
The programme of the congress or workshop.
